Privacy Policy

This Privacy Policy explains how Orchid Horizon Limited (NZBN 9429053317568) collects, uses, stores, and shares personal information when you complete the intake questionnaire for the Orchid Horizon Personal Assistant (“OHPA”) beta.
We are based in New Zealand and this policy is governed by the New Zealand Privacy Act 2020.
Who we are
Orchid Horizon Limited is a New Zealand registered company. Our directors, who jointly act as Privacy Officers for OHPA, are Deb Hoffman, Lee-Anne Hefer, and Zaskia Katzke.

What we collect
The intake form asks for the information needed to configure a personal assistant for you. The fields fall into three tiers:
- Tier 1 (required): your name and preferred name, role, industry, role description, business context (size, reporting structure), working hours, top priorities, devices and operating systems, tools you use, email and calendar setup, and file storage.
- Tier 2 (optional): strengths and weaknesses, decision-making style, communication preferences, weekly planning habits, and key relationships you mention.
- Tier 3 (optional): professional values, motivation, faith or worldview (if you choose to share), family commitments, longer-term goals, voice and tone preferences, and how you heard about us.
Some of this information is sensitive (for example, faith or family circumstances). You are never required to answer optional questions, and we treat any sensitive information you share with extra care.
How your information is stored
While you fill in the form, your answers are saved to your own browser's local storage so you can leave and come back without losing progress. This data stays on your device and never reaches our servers until you choose to download or submit it.
You can clear your saved progress at any time using the Delete saved progress control on the intake page.
How we use your information
We use the information you submit only to:
- Configure your personal assistant during the OHPA beta;
- Communicate with you about your setup, the beta programme, and changes that affect you;
- Improve OHPA based on your feedback;
- Meet our legal obligations.
We do not sell your personal information, and we do not use it for advertising.
Who else processes your information
We use the following third-party services (sub-processors) to run OHPA. Each handles your data only on our instructions:
- Vercel Inc. (United States) hosts the OHPA website and may process technical logs and basic analytics.
- Resend (Resend, Inc., United States) sends emails on our behalf, including beta confirmations and notifications.
- Anthropic, PBC may process your assistant configuration when you use the assistant we set up for you. (No data is sent to Anthropic from this intake form itself.)
These providers may store data outside New Zealand. By using OHPA you acknowledge this transfer. We choose providers that meet recognised international privacy and security standards.
How long we keep it
For the OHPA beta, we will delete your intake submission within 30 days of the beta closing, unless you ask us to keep it for migration into a future general-availability product. We will tell you when the beta is closing and ask whether you would like your data carried forward.
Drafts saved in your browser stay there until you clear them or your browser clears its storage.
Your rights
Under the Privacy Act 2020 you can:
- Ask what personal information we hold about you;
- Ask us to correct anything that is wrong;
- Ask us to delete your information;
- Complain to us, or to the New Zealand Office of the Privacy Commissioner at privacy.org.nz.
To exercise any of these rights, email legal@orchidhorizon.com. We will respond within 20 working days.
Security
We protect your information with reasonable technical and organisational measures, including encrypted connections (HTTPS), access controls, and a password gate on the beta site. No system is perfectly secure, and you provide your information at your own risk.
Changes to this policy
We may update this policy from time to time. We will tell beta testers about material changes by email. The “Effective” date at the top of this page shows when it was last updated.
